00936: Administrative Manager (Registrations, Licensures and Certifications)

The Administrative Manager will oversee the firm’s governance, licensures, certifications and registrations.  Ensures compliance with all applicable regulations and maintains all necessary records. The Administrative Manager must stay up-to-date with rules and regulations relevant to obtaining or maintaining licenses. Must be able to handle matters that require a high level of confidentiality and discretion. The Administrative Manager will report to the EVP/COO. 

ESSENTIAL RESPONSIBILITIES

  • Manage and review legal documents to identify any risk management issues, in particular related to indemnification.
  • Manage and ensure timely renewal of Greeley and Hansen’s registrations, licensures, and certifications which allow the firm to offer and provide professional engineering services in various jurisdictions based on regulatory compliance.
  • Review regulations to ensure compliance.
  • Identify any issues that may adversely impact the firm’s ability to offer and provide services.
  • Serve as liaison with external counsel to resolve issues that may arise regarding regulatory compliance.
  • Monitor, process and document licensures, certifications and registrations renewals within required timeframe, and resolve issues as they arise.
  • Maintain files of resource documents, such as copies of current regulations, firm’s licensing applications, and other relevant materials.
  • Prepare and process employee expense reports and payment requests.
  • As requested, maintain licensing budget.
  • Manage and maintain all invoices and renewals, and coordinate with content provider to resolve all pricing and payment issues.
  • Collaborate with marketing team to confirm firm’s compliance with RFP as related to contractual terms and conditions.
  • Liaise with external legal counsel for matters related to risk management.
  • Act as custodian of records for the firm’s governance records, including Operating Agreement, Board meeting minutes; transcribe meeting minutes; Resolutions, Litigation Summaries (prepared by legal counsel) and other relevant records such as ownership disclosures.
  • Coordinate annual meetings.
  • Ensure both systems and processes are optimized and maximized.
  • Successfully complete special projects and other assignments as requested.

QUALIFICATIONS

Education/Certification

Bachelor's degree.

Experience

Minimum of 5 years relevant experience; previous paralegal experience and certificate required; Professional services environment experience highly preferred.  Familiar with the structure of a limited liability company (as opposed to corporate) structure.  Proficient in Microsoft Office including Word, Excel, PowerPoint and Outlook.
